In this session we will look at: What the reviewers were taught about improving forms. Problems the public had with existing forms and why they were making so many errors. The causes of the problems and what was done to correct them, including a totally new approach to layout. How usability testing and error analysis was used to highlight the problems and to show business owners why the forms needed to change. W605 Forms Processing Automation for AR/AP Semi-Structured Forms
Presenter: Richard Mahoney, KeyNet, Inc.
3:10pm - 4:00pm

Invoices and Purchase Orders present a unique set of document management challenges. Since these documents originate outside the processing organization, there is no control over the format, size, color, coding, paper thickness, quality, positioning of data on the printed page, consistency of data format, or condition of the equipment creating the document (printers, fax machines, etc.). In short, there is no standardization and the extraction of information from these forms for indexing and data processing purposes can be a very complex process. This problem is solved by incorporating a flexible, open and customized front-end processing software system for invoices. Invoices is an automated, modular system for digitized invoice processing. Invoices frees the organization from manual data entry of invoices and minimizes paper handling. It automates the invoice process flow and generates significant cost and time savings. The benefits of Invoices include: Improved data quality, Increased productivity by staff Invoices utilizes OCR and other intelligent character interpretation processes to: Read the invoice document to determine its structure and content; Identify the supplier; Learn, read and validate the data required to process the invoice Invoices provides for document capture for scanning, email and fax; interpretation of data from the invoices; verification of captured data with the ERP systemand transfer of data and images to the target ECM Document Management, Archiving and ERP system.

Keynote: Document Darwinism: The re-evolution of enterprise forms and documents
Presenter: Arun Anantharaman, VP and General Manager for Adobe

F506 Forms that Everyone Can Use – What Accessibility means for Form Design
Presenter: Andrew Kirkpatrick, Adobe
9:00am - 9:50am

Accessibility is important to ensure that all users can interact with the information and services offered online. Achieving this goal is not out of reach, but does require an understanding of how people with different disabilities access forms (it’s not just about supporting blind people), an understanding of the current policy requirements that impact you and your business, and knowledge of best practices for developing accessible forms with your technology of choice. This session will provide this context and include demonstrations.

W606 Back to the Future with Pen to Paper
Presenter: Peter Nicholson, Anoto
9:00am - 9:50am

In the beginning it was all about managing paper forms and determining the least costly method to print. To eliminate paper back then, the primary tool was to conduct a system analysis of the paperwork flow along with the procedures that guided the paperwork flow throughout the organization. The end result was to consolidate, eliminate and standardize forms wherever possible. This is still a powerful cost-reduction process today. Then e-forms came along and the explosion of the internet. This certainly redefined the rules for forms design but fell far short of being able to integrate with back-end systems and provide seamless workflow capabilities. Today, the pursuit of the paperless office has become a reality for some – but they are the exceptions. The country continues to consume paper at an increasing rate. The paperless office is an appropriate goal for most organizations but the reality is that for many applications, paper makes sense and is the correct media.

M706 Designing Mobile Forms
Presenter: J.P. Terry, SmartDoc Technologies
9:00am - 9:50am

This presentation will enable all attendees to understand the important design principles required for successful mobile forms. Drawing from real-world experience, J.P. will expand on the themes he has introduced on this topic at 3 previous BFMA sessions. Since the last session, SmartDoc has created a number of mobile form solutions for clients including MetLife and the U.S. Department of Veterans Affairs. But perhaps the best case study for mobile forms is the SmartDoc Expense Report. This iPad app was originally created for the first mobile form presentation that SmartDoc gave at the 2010 BFMA show in Chicago. Since then, over 15,000 expense reports have been generated by iPad users worldwide with this free app. Over 4,500 individuals have downloaded this app and created expense reports without any training. This is only possible with thoughtful and intuitive design and this session will show all attendees what it takes to design intuitive and engaging mobile forms.

W608 Visitor Visitor Registration with Forms Experience Builder
Presenter: Rohit R Sahasrabudhe, IBM
11:00am - 11:50am

Every day in the Washington DC area alone thousands of workers will come together to do business in locations where they do not typically work on a daily basis. The ubiquitous Visitor Request form is ticket for enabling these meetings. Using this scenario as an example, we will describe and demonstrate how the typically manual process of e-mailing forms containing data for someone else to copy and paste into another system could be greatly improved by putting the form online and implementing a simple workflow to go with it. If the online form were connected to a workflow there would then be a tremendous amount of flexibility to invoke, for example, screening services and automatic or manual approval steps based on visitor information or even printing visitor badges.

M708 Driving Workflow Efficiencies through Voice-Enabled Mobile Forms
Presenter: Debbi Giollotti, nVOQ, Inc.
11:00am - 11:50am

In healthcare and many other industries, data entry requirements have never been more challenging. The use of electronic forms to automate paper-based workflow has helped streamline some of this documentation burden. But for those workers who aren't as fluid with the keyboard, or need to regularly navigate complex templates, adding voice as another data entry modality can provide a great opportunity for added efficiency. This session will illustrate the use of nVoq's "Saylt''web-based voice recognition solution with Mi-Co Mobile Forms to: navigate and form fill electronic templates, dictate notes, and other capabilities. We'll discuss how Saylt works securely in the cloud to convert speech to text within seconds, saving time and improving documentation accuracy and consistency. Examples of voice-enabled use cases within Healthcare and other verticals will be provided, along with potential workflow benefits.
