The Forms Management Program is just one cog among many in any organization. How do you get it to stand out? How do you let your peers know the valuable work that the Program does for the organization? How to you let form owners know that you aren't doing something to their form but instead something for them? The answer is marketing the Program and educating users, partners, and management.

601Intelligent Form Solutions for Financial Services and Public Sector

A BFMA 2019 conference survey highlighted the varying maturity of form solutions across organizations, with many still at an early stage, some making progress with more advanced forms, and a few having success with more automated solutions. In this session, we look at form solutions at various stages of maturity and explore the benefits of “Stage Four” intelligent form solutions where end-to-end processes are automated. We will cover how financial services and public sector organizations have implemented solutions, what factors went into the technology decisions, and learn about the benefits seen after the solutions went live.

Forms management is a function that affects virtually every department and every business process within an organization. Setting up the department to achieve its objectives is an essential element of success. Elements of the governance structure include the forms mandate, forms policies, roles, staffing, reporting structure, forms committee, form owners, forms coordinators, and the forms management strategy. This session defines all these elements and makes specific recommendations for implementation.

503PDF Forms and Data: The Ins and Outs

Presenter: Jeanne Petty

Some of the obvious benefits of digital forms range from convenience to legibility, but the true power of digitized forms lies in access to your data. PDF forms offer a variety of standard ways to access your data, but also lend themselves well to custom, flexible solutions. This session will review the formats and methods available for moving data in and out of PDF forms as well as present some creative, project specific solutions.

603 CASE STUDY: A Case Study in Digital Mail: Information Management Strategies and Solutions in State Government

Presenter: Alyshia Benedict

Information Management is crucial to the success of an organization. State agencies must maintain industry standards and stay up-to-date with technology solutions. This case study will discuss how we have shaped the future of our agency using digital solutions in our mail process, including some of the challenges we faced in the process and the results of the migration from paper mail to digital mail.

We will also provide updates on other projects within our Information Management program. This will include an update on our upgrade from static PDF forms to adaptive forms in the agency’s Forms Management program, the goals for our future Asset Management system and our Records Retention program.

504 BFMA Body of Knowledge: What are the differences between the various types of analysis in the forms development lifecycle

One can be forgiven for being unsure (or even unaware) of the differences between these types of analysis. The fact is, many of us are doing all four without realizing these can be divided to discrete functions. However, as your Forms Management Program grows to take on an ever-increasing number of forms, greater specialization becomes imperative. In this session, we draw upon the Body of Knowledge and delineate the differences and similarities of each of the four types of analysis.

604 How Digital Disruption is Transforming Forms Automation

Presenter: Neal Keene

Customers hate forms. And today if your forms aren’t web- and mobile friendly, customers may not engage at all. Even if you’ve moved that form online instead of requiring paper, it’s still a slow and tedious process. Plus, incomplete forms or manual processes mean internal delays and lost revenue. It’s time to transform the form.

All BFMA members are strongly encouraged to attend the Annual Meeting that is required by our bylaws. The General Meeting brings the installation of the new Board of Directors for the coming year and a chance for members to show their support of these people who volunteer so much of their time. The Association President will discuss the state of the Association.

BFMA members are always welcome to BFMA board of directors meetings. This meeting is required by our bylaws and is attended by all newly installed Directors for the 2020-2021 Board.
