The issues for forms professionals ought not be complex if they are aware of potential problem areas and plan for them. We will also examine putting this information to practical use in the context of limited resources, limited understanding of the issues and different corporate cultures. As this session is based upon practical experience and not on established practices, attendees will have the opportunity to discuss their experience and challenges.

W602 Successes and Lessons Learned Deploying an Online Reporting System

Every year, the Workers’ Compensation Board of Alberta (WCB) requires registered employers to complete an annual return, similar to an income tax form, to report their workers’ earnings. In 2006, WCB introduced a web-based version of the annual return, which employers can submit electronically. The online form is a customized user experience, incorporating both the employer's responses and known information about them. This year, WCB had over 84 per cent of its employers file electronically. This session will discuss the success of the web-based annual return and lessons learned in implementing and supporting it.

F503 Conducting an Organization Wide Forms Review

In 2006, a major Australian Government Department took on the challenge of reviewing all of its public-use forms with a view to making them far easier for the public to fill out. Because of time constraints and a large number of forms, much of the review was conducted by previously untrained staff. In this session we will look at: What the reviewers were taught about improving forms. Problems the public had with existing forms and why they were making so many errors. The causes of the problems and what was done to correct them, including a totally new approach to layout. How usability testing and error analysis was used to highlight the problems and to show business owners why the forms needed to change. The session will include numerous practical examples of 'before' and 'after' situations along with insights gained from an extensive observational testing program.

Invoices and Purchase Orders present a unique set of document management challenges. Since these documents originate outside the processing organization, there is no control over the format, size, color, coding, paper thickness, quality, positioning of data on the printed page, consistency of data format, or condition of the equipment creating the document (printers, fax machines, etc.). In short, there is no standardization and the extraction of information from these forms for indexing and data processing purposes can be a very complex process. This problem is solved by incorporating a flexible, open and customized front-end processing software system for invoices. Invoices is an automated, modular system for digitized invoice processing. W606 Back to the Future with Pen to Paper

In the beginning it was all about managing paper forms and determining the least costly method to print. To eliminate paper back then, the primary tool was to conduct a system analysis of the paperwork flow along with the procedures that guided the paperwork flow throughout the organization. The end result was to consolidate, eliminate and standardize forms wherever possible. This is still a powerful cost-reduction process today. Then e-forms came along and the explosion of the internet. This certainly redefined the rules for forms design but fell far short of being able to integrate with back-end systems and provide seamless workflow capabilities. Today, the pursuit of the paperless office has become a reality for some – but they are the exceptions. The country continues to consume paper at an increasing rate. The paperless office is an appropriate goal for most organizations but the reality is that for many applications, paper makes sense and is the correct media.

Drawing from real-world experience, J.P. will expand on the themes he has introduced on this topic at 3 previous BFMA sessions. Since the last session, SmartDoc has created a number of mobile form solutions for clients including MetLife and the U.S. Department of Veterans Affairs. But perhaps the best case study for mobile forms is the SmartDoc Expense Report. This iPad app was originally created for the first mobile form presentation that SmartDoc gave at the 2010 BFMA show in Chicago. Since then, over 15,000 expense reports have been generated by iPad users worldwide with this free app. Over 4,500 individuals have downloaded this app and created expense reports without any training.
